This is what happens to the details you send me through this website, in the free audit questions, the Contact Us form or the referral partner form, through my demo phone number, and the details a seller passes on with your agreement. In short: I use them to send your audit, reply to you and talk about working together. I don't sell them, I don't add you to a mailing list, and there's no tracking on this site.

Who I am

I'm Euan Grant, and I run Autora through my company, Autora IT Support & AI Automations Limited. The company is responsible for your data. It's registered in Scotland, company number SC889126, and its registered office is 7 Glen Shiel Crescent, Kilmarnock, KA2 0LS.

For anything about your data, email me at autora@autoraaiautomation.com.

What I collect

  • What you type or pick in the forms: your name, email address, phone number if you give one, your answers to the questions and any message.
  • When you send a form, your IP address and the kind of browser you used. These are only there to stop spam and abuse.
  • While you answer the questions, your answers are kept in your own browser, so a refresh doesn't lose them. They're cleared when you send them or close the tab.
  • If you use the price calculator, what you pick is kept in your own browser in the same way, until you close the tab. It only reaches me if you then send the free audit questions, when it goes with your answers.

What I use it for

  • To write and send your free audit, reply to your message and talk to you about working together. The legal basis: you asked me to, and these are steps before we might agree any work.
  • To keep the forms free of spam and abuse. The legal basis: my legitimate interest in keeping the site safe.
  • If you become a client, to do the work and keep the records the law requires. The legal basis: our contract, and my legal obligations.

I won't add you to a mailing list or send you marketing emails.

How your audit is written

Your free audit is written by an AI workflow I built. Your answers to the questions, including anything you picked in the price calculator, are sent to Anthropic's Claude, which writes it. Your name, email address and phone number are not sent. I get a copy of every audit, and nothing about you is decided automatically.

Referrals

If you arrive through a referral partner's link, the partner's code is kept in your browser tab until you close it, and shows in a "Who sent you here?" field that you can change or clear before you send anything. If you then become a client, I tell that partner so, and what commission they're owed, so I can pay them. I don't share anything else you've told me. The legal basis: my legitimate interest in paying partners correctly.

If you apply to be a referral partner, I collect your name, email address, phone number if you give one, where you're based and what you tell me about the businesses you know. I use them to decide on your application, run the programme and pay you, under the partner terms. When you're first owed commission, I'll ask for your bank details by email.

Sellers

Some businesses hear about me from a seller: an independent, self-employed person who sells Autora's services for commission. If you talked to a seller and agreed to hear from me, they send me your business's name, your name and contact details, and what you're interested in. When I first get in touch, I'll tell you which seller introduced you.

I use these details to contact you about working together, and to pay the seller if you become a client. I tell the seller whether you became a client and what commission they're owed. I don't share anything else you've told me. The legal basis: my legitimate interest in following up an introduction you agreed to, and in paying sellers correctly.

Each seller is responsible for the details they hold about you themselves. If you didn't expect to hear from me, or you'd rather not, tell me and I'll delete your details.

If you ring or text my demo number

My missed-call text-back demo has its own phone number. If you ring it, it won't answer, and a few seconds later it texts your mobile, so you can see what your own callers would get. To do that, Twilio, which runs the number, passes me your phone number.

  • I keep your number for 24 hours, so you don't get the same text twice in a day.
  • If you text STOP, I keep your number so it never texts you again, unless you text START.
  • If you text back, your number and message come to me by email, and I keep them like any other enquiry.

The legal basis: my legitimate interest in showing you the demo you rang for, and in replying if you text back.

Who else handles it

A few services help me run this. They only use your details to do that job for me:

  • IONOS hosts the server this site runs on, in Frankfurt, Germany. Your details are saved there, and an automation tool on the same server sends the emails.
  • Cloudflare delivers the site and protects it from attacks.
  • Anthropic writes your audit from your answers. It's based in the US.
  • Resend sends your audit and my notification emails. It's based in the US.
  • Microsoft 365 runs my email, where your message and a copy of your audit arrive.
  • Calendly and Zoom handle the booking and the call, if you book one.
  • Twilio runs my demo phone number and sends its texts. It's based in the US.

Where one of these is outside the UK, your details have the protections UK law requires for sending data abroad, such as standard data protection clauses.

How long I keep it

  • If we don't end up working together, I delete your details 12 months after we last spoke.
  • If you become a client, I keep what the work needs, and business records for as long as the law requires, usually six years.
  • If you're a referral partner or a seller, I keep your details while you're a partner or seller, and records of what I've paid you for six years, as the law requires.
  • Copies held by the services above are deleted on the same schedule or sooner.

Your rights

You can ask me to:

  • send you a copy of what I hold about you
  • correct anything that's wrong
  • delete your details
  • stop using them, or only use them in limited ways
  • send them to you, or to someone else, in a format a computer can read

Email autora@autoraaiautomation.com. It's free, and I'll reply within a month.

If you're unhappy with how I've handled your data, please tell me first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
